Job Description
This position will be responsible for supporting the Manager and Coordinator of Facilities Maintenance with research & completion of minor projects, scheduling and coordination of lot maintenance in conjunction with the Studio Operations team, taking into consideration Production activities on stages and on the backlot.
Your Role Accountabilities:
· Create maps, attend meetings, back-up for site job walks when Coordinator & Manager are not available; gather information from meetings, create memos and distribute to appropriate departments
· Schedule meetings, maintain spreadsheets, schedule job walks and daily communication
· Point of contact for maintenance work orders in Planon
· Field verification of maintenance work, coordination of vendor site visits
· Ensure coverage of critical support duties including payroll, billing and call center lines when others are out of office
· P Card Reconciliation
Qualifications & Experience:
· High School Diploma / GED
· Customer service experience; data entry; Accounts Payable/Account Receivable. Facility maintenance experience a plus.
· Proficiency in Microsoft programs (Word, Excel, Power Point, Outlook, Teams and OneDrive) are strongly preferred.
· Experience with Apple iPad and SAP are ideal but not required. All other programs are internet based, custom to WB, and job specific (which determine access/software licenses). Those critical programs include SAP (Accounts Payable), OTA (payroll), Concur (PCard), Xytech (LOB billing), Planon (work order tracking and billing) and Safety Culture (inspections). All programs used daily to complete job duties.
· Strong customer service experience and communication skills are essential.
· Ability to work as a team, be proactive, assertive and self-motivational to complete necessary daily tasks without Manager intervention are necessary.
· Acting with professionalism is critical to maintaining Production Client-Department relationship.
· Good problem-solving skills are needed to tackle calls concerning urgent requests from both Production Clients and other Studio Departments with field Personnel, even when Manager/Coordinator is temporarily unavailable or unreachable.re used daily to complete job duties.
